Once you share your diagram with your peers, you can make live changes to it like in Google Suite. This makes collaboration much easier and allows you to work on Diagrams as a team, developing and sharing ideas in Real-time.

The sharing dialogue is where you can manage the access permissions to the diagram for all members of your team.

You can share your diagram with your peers in two different ways.

Share with people using their email address. You may select one of two access permissions (Viewer or Editor). This will also allow you to send them a personalized message.
To share the diagram with specific accounts, please follow the steps listed below:
- Click the Share button in the top-right corner
- Type in the email address(es) of your peer(s)
- Select the level of access (Viewer or Editor)
- Click the Send invite button.
Share with Link enables you to share the link to the diagram with
- Your Team or invited users
- Anyone with the link
- or Public on Community

Live editing

While working together in collaborative mode, on any shared diagram, you can see the live cursor movement of all other editors. Additionally, all components selected by collaborative editors will be highlighted on your end for improved visibility. These functionalities help editors identify components in large diagrams, improve presentations and live tutorials, and enhance the simultaneous construction of any model.

When peers access a shared diagram, an icon with their profile picture will appear next to the Share button.

Diagrams shared with you

If you want to make changes or save a diagram shared with you in view mode, you need to make a copy of it. This is to prevent you from overwriting other people’s work. Click the “Make a copy” link in the yellow bar at the top of the page, or go to Menu -> Make a copy.

All diagrams someone has shared with you can be found in Menu > Open > Shared with me.

For confidential and private diagrams (included in the Starter and Pro plans), the Diagram Sharing option is limited to “View only” access to ensure that your important projects are not modified by mistake.

As such, if you want to share these diagrams with other collaborative designers, keep in mind that they cannot make changes to your canvas.

When accessing the shared diagram, the invited designer has two possible methods to add or modify nodes on your canvas:

🤝Upgrading your subscription to a Team-based plan – this will unlock the collaborative edit feature, and you will be able to modify the diagram, run simulations, and adjust parameters in real time.
⚠️Make a Public copy of your Private Diagram – It is important to keep in mind that designers with whom you shared your work might copy your work and make their version public in our Community. As such, if you work on a confidential project, it is mandatory to share your diagrams only with trustworthy designers or colleagues from your Machinations team.

For projects where confidentiality is not a requirement, the Diagram Sharing Option includes Edit rights as well. Regardless of whether you are subscribed to the Community, Starter, or Pro pricing plans, any user can share their Public diagrams with any editor.

It is important to keep in mind that once you set your diagram’s Privacy to Public on Community, your work will be visible (but not editable) from our Community. Set this sharing option only if you are not working with confidential data.

Version History

A diagram’s Version History (CTRL+H) can be accessed via the History icon in the Sidebar to the left. This will open the History panel from where you can view, restore or delete a diagram version. You can find more details about the Diagram and Play History in our History article.

When hovering over the green Changes saved cloud in the top menu bar, you can see when the last changes were saved.

Team Variables

Adding Custom variables shared with your entire team is a great method to ensure that different designers can use the same parameters when needed. From Game design document data, and progression formulas, to randomness types, team variables can keep all team diagrams synced using standard parameters.

Editing any filed of a team variable such as name, formula or path, will change the variable for any collaborative diagrams. As such, let your team know if you need to change a team variable.

Moreover, you can check out exactly which diagrams will be affected by the custom variable change by clicking on the link displayed below the save button.

Do not worry if you deleted a team custom variable by mistake. When any team variable is deleted, a copy of if will be automatically added to any diagram that uses it.
